Privacy Policy

The short version
DugoutIQ (also known as Ball Boy / BallBuddy) is a planning tool for youth baseball coaches. Coaches create an account, enter their team roster, and plan tournaments and lineups. Because rosters describe youth players, some of the data you enter is personal information about minors. We collect only what the app needs, we don't sell it, and you can ask us to export or delete it at any time.
What we collect
- Coach account data. Your name, email address, and login credentials, managed through our authentication provider, Clerk.
- Player roster data. Information coaches enter about players on their team: player names, jersey numbers, positions, depth-chart rankings, and an optional free-text notes field. Because these are youth teams, players are typically minors. Please don't put medical or other sensitive information in the notes field.
- Planning data. Tournaments, games, lineups, and messages you send to the AI assistant.
We do not collect information from children directly. All player data is entered by adult coaches. We don't run ads or sell data.
Your responsibility as a coach
By entering roster data, you affirm that you are authorized to enter and manage that information — for example, as the player's coach with the consent of a parent or guardian, or under your league's rules. If a parent or guardian asks you to remove their child's information, you can delete the player from your roster, or contact us (below) and we'll help.
Who processes your data
We use a small number of service providers to run DugoutIQ:
- Google (Gemini). When you use the AI assistant, relevant roster and tournament data (including player names) is sent to Google's Gemini API to generate answers and lineup suggestions. It is used only to produce the response.
- Clerk. Handles sign-in, accounts, and team membership.
- Railway. Hosts the application and the database where your data is stored.
Retention
We keep your data for as long as your team exists in DugoutIQ so your plans and history stay available to you. When a team or player is deleted, the associated data (roster entries, tournament assignments, lineups, and stats) is removed from the live database. Backups may persist for a limited period before they are rotated out.
Deletion and export
- Delete a player. Any coach on the team can delete a player from the roster page. This removes the player and their tournament, lineup, and stats records from the live database.
- Delete a team. The head coach can delete the whole team from Settings → Danger zone. This removes the team and all of its players, tournaments, games, lineups, and stats from the live database.
- Export, or full account deletion. Email alex.gruver03@gmail.com from your coach account's email address and we'll handle it promptly.
Children's privacy (COPPA)
DugoutIQ is a tool for adult coaches. We do not knowingly collect information from children directly, and children are not the users of the service — all roster data is entered and managed by adults. If you believe a child has created an account or that data was entered without authorization, contact us and we'll remove it.
